Chatbot project

The president of Southwest Airlines has hired you to manage a new project to implement chatbots like the ones shown in the links below, associated with this assignment. You can decide exactly what the chatbot will do. Put together a high-level implementation plan and operational policies for this chatbot project. The plan should describe the business goals, the scope of the effort, the timeframe for the implementation, what resources are needed for the project. Please explain how the new chatbot will be used by your business and customers. You should also analyze the risk factors of using chatbots (e.g., deteriorated morale among customer service representatives, poor service for customers) and how those risk factors can be mitigated. In the operational policies, you should describe when people will use chatbots and what other options will be available. For instance, will a chatbot be the required first stop for all customers, or one of many mechanisms for customers to interact with your business? Will “preferred” customers have additional service options? If so, describe the process for identifying “preferred” customers.

This paper must follow the formatting guidelines in The Publication Manual of the American Psychological Association [APA Manual] (2020), (7th ed.) using Times New Roman 12-point font. Remember to support your statements, including opinions, with factual information (i.e., attribution/citations). The paper is essentially an research driven, executive summary and, as the minimum, must contain:

A title page (see Figure 2.2 in the APA Manual)
Three to five pages of text-based content
At least, one paragraph for each bulleted item below. (A paragraph in academic writing normally has at least three sentences: beginning, middle, and end.)

One or more reference pages
Links for your business and the competitor in a separate section on the reference page (do not include the links in the reference list)

Business Goals – What is the business strategy and how does the chatbot fit with the strategy? How does this project potentially give the business a competitive advantage?

Scope of Project – What is the chatbot expected to do? What is out of scope for this project, meaning what will the chatbot not do? (For instance, the chatbot might document a customer’s problem, but notify the technical service group to actually solve the problem.) Will the chatbot be targeted at all customers, or a specific subset? How many people in your business are expected to interact with the chatbot? Will your bot be English only or multilingual? Will the chatbot use text or voice recognition or both?

Project Timeframe – How long do you expect the project to take? Will the chatbot be rolled out for the whole business at once, or will it be piloted for a small group first? If your business is large, will it be rolled out for specific regions or certain product lines? Will certain features be rolled out first and other features implemented later?

Implementation Resources – Who will implement the chatbot? Will company resources or outside resources by required? If training is needed, who will do that?

Expected Benefits – What specific benefits, such as increased sales, improved product quality, higher customer satisfaction, reduced costs, do you expect? How is the chatbot expected to deliver those benefits? What is the timeframe for achieving the benefits? How will this system give your business a competitive advantage?

Communication Plan – What groups in the business need to be informed about the progress of the project? How will each group receive updates, e.g. weekly meetings, newsletter, emails, webinars, project website, etc.?

Risk Analysis – What could go wrong with the chatbot project? How will you avoid or minimize those risks?

Operational Policies – What will be the terms of service for use of the chatbot once it is implemented? Who can access the chatbot data? How will customer information in the chatbot be secured to protect the privacy of the customer?

Critical Success Factors – What criteria will you use to judge the success or failure of this project? How are the critical success factors for this project tied to the business strategy and business goals?

Superior Electrical

Superior Electrical (Superior) was in the business of installing electrical wiring and related components at new construction sites. Because some employees were assigned company vehicles equipped with company tools and materials and were expected to drive those vehicles to the work sites, Superior required all employment applicants to hold a valid driver’s license. Employees who were assigned a company vehicle were expected to drive for the company during the workday in order to transport job materials and company tools that were kept on the vehicle to job sites. These employees were expected to take the company issued vehicle home at the end of the work day.

Superior hired Cory Jones as an apprentice electrician. Jones had completed an employment application in which he stated that he had a valid driver’s license and had not been cited for any traffic violations. These statements were untrue. His license had been suspended because of numerous traffic violations, including careless driving and driving without a license. Superior did not check on his driving record at the time he was hired because, as an apprentice electrician, he was not being assigned a company vehicle and was not expected to drive for the company during the work day.

About a year after hiring Jones, Superior promoted him to electrician and assigned Jones a company vehicle equipped with a rack for transporting wiring and other materials to and from the work sites. Superior intended that Jones drive during the day for the company and to take the vehicle home after the end of the work day. On a later date, when Jones’s work hours had ended and he was driving home in the company vehicle, he collided with two cars. The collision resulted solely from Jones’s negligence. Carolyn Carson and her son were severely injured in the collision and they sued Superior. The Carson’s alleged two theories of recovery against Superior: respondent superior and negligent hiring.

Scenario

Imagine that you are an organizational consultant for the SNHU Pet Supply Company. The director of retail operations has asked you to evaluate the reason for some of the team’s drop in productivity and make recommendations for their improvement. Further conversations with the team members and managers reveal a conflict in the way productivity and efficiency is being measured and handled.

The team members say that their managers micromanage them. Each week, the managers send out a task list for the team and expect them to fill out detailed timesheets every day to cross-reference the task list. Any deviations from the list must be explained in a separate email. Moreover, some team members feel their skill sets are not being used correctly, and that they would be better suited to do tasks that are not being assigned to them. This has led to some resentment within the team, not to mention high levels of stress to meet the managers’ demands.

The managers maintain that they have just been following the process that’s been set out for years in the company. The many unresolved issues are taking a toll on the team’s productivity and efficiency, which then feeds back into the conflict, creating a vicious circle.

The essay should refer to a reallife problem from your experience, which is amenable to analysis by organisational management concepts and theories. It is a good idea to anonymise the organisation(s) you refer.

Section 1: State the problem situation clearly. For example, describe signs and symptoms indicating an organisational problem that should be addressed by management. Remember, problems can arise at individual, group, intergroup and organisational levels. If you have not worked in health services, you can choose any other health related organisation. However, make sure to choose an organisational problem that can be addressed appropriately by the concepts taught in this module.

Section 2: Analyse the problem situation in terms of organisational behaviour. From the range of concepts and theories covered in the module, select those you think are most relevant and discuss what each may contribute to an understanding of the core problem. Make sure to focus on a small number of key concepts and apply them to the concrete situation you are discussing.

Section 3: Examine the wider organisational context and identify issues (internal or external to the organisation, depending on your topic) you think are important to understand the problem. Your analysis should draw on the relevant concepts and theories from the module and discuss three or four management issues that are relevant to the wider organisational context. You may also refer to the wider environment at local, regional, national or international level, if these are directly relevant. You have discretion to decide what you discuss here or in Section 2, as this depends on your analysis and the nature of the problem. However, in both sections try to focus on a small number of key aspects and provide an indepth analysis rather than a superficial discussion of many different topics.

Section 4: Finally, you should formulate a coherent set of recommendations, which are both practical and relevant.
